If the answer is “not really,” you’re in good company. Kitces Research found marketing consistently ranks among advisors’ most frustrating tasks [1]. It’s time consuming and costly.
Yet successful independent advisors know marketing is the key to growth. So how can you market without it draining your time and resources?
Automated marketing for financial advisors helps close that gap. The more of your marketing you can automate, the more you can focus on your primary goal: serving your clients.
Automated marketing works because you scale what worlds. You build the system, it captures leads, it nurtures the prospect and it tells you when your team’s outreach will be most effective.
This guide shows how to set up an automated marketing system, scale it, and keep it compliant.

Key takeaways
Automation handles repeat steps: capture, follow-up, reminders and scheduling. Start with something of value to engage the prospectRespond fast. Instant, automated follow-up keeps new leads from going cold.Fewer channels done well tend to beat many channels done halfway [1].Compliance rules for advertising, email, texting and recordkeeping apply to automated messages too.
What automated marketing means for an advisor
Automated marketing is a set of connected tools that move a prospect from first contact to a booked meeting without you starting each step. A typical system has five parts:
An offer that gives a prospect a reason to engage
A capture page that collects contact details and sends them to your CRM
A nurture sequence of emails that educates over time
Instant follow-up with a link to book a meeting
Tracking that shows which channels bring in clients
Of course, automation doesn’t replace your work as an advisor. A successful automated marketing system still needs you and your team for quality outreach and appointment setting.
Set it: The building blocks
1. Lead with something of value
Prospects don’t hand over an email address unless you offer real insight and real value. And they’re most willing to share one for something that answers a question they’re concerned about today.
For retirement-focused advisors, taxes are one of the strongest topics. In an Allianz Life study, 70% of Americans said they’re concerned about taxes on their retirement income [2]. And taxes continue to be a top topic for lead generation conversions.
A good offer typically has three traits:
It connects to something already on the prospect’s mind, such as taxes, Social Security or new legislation.
It raises a question the prospect hadn’t considered – or considered but didn’t know how to fix.
It points to an answer the prospect can’t easily get alone.
For example, many prospects know they will pay taxes in retirement on their 401(k) or IRA funds. But they have no idea how big that retirement tax bill might be.
A tool like Stonewood’s Retirement Tax Bill (RTB) calculator capitalizes on this. Advisors get their own customized landing page and calculator, where prospects can enter a few pieces of data and receive their own tax analysis in minutes. In exchange for their email address, phone number and IRA size, prospects get real value that opens the door for tax planning conversations with your firm.
Tools like the RTB calculator can be put to use wherever you prospect – from email marketing and social media posts to radio shows and podcasts. For more channel ideas, check out 10 smart ways to put RTB to work.
Bonus idea: A book written specifically for retirees works well as an offer too. Tax-focused narratives, like The Road Less Taxed book, are converting especially high in today’s legislative environment. See financial advisor book marketing for ways to use one.
2. Connect your capture page to your CRM
An automated marketing system will send form submissions straight to your CRM, tagged by source. Your CRM can then automate follow up emails and team members tasks to nurture that lead.
Make sure you’re using a CRM or supplemental system that can automate the next step of your marketing process. If you’re looking for some top choices on CRMs with great automation features, check out our guide to financial advisor software that compares the main options.
3. Build a nurture sequence
Of course, most prospects aren’t ready to meet the day they download a resource from your site. The leads need to be nurtured, which is a defined process of education and outreach that helps a prospect understand why they need to meet with you.
Email sequences tend to be the most effective, with many independent financial advisors layering phone outreach or mail into the process.
Here’s an example of how a nurture sequence on taxes might be structured:
Timing
Email topic
Day 0
Deliver the offer (ie, tax analysis), with a link to book a meeting
Day 2
Offer additional learning content: Three ways taxes can rise in retirement
Day 5
Expand the learning content: What IRMAA is and why it matters to savers like you
Day 9
Additional offer: A complimentary book
Day 14
Expand the learning content: The widow’s penalty: planning for the surviving spouse
Day 21
Make the ask: An invitation to talk through their numbers
Keep each email short, useful and focused on one idea. Be sure to include a primary and secondary call-to-action in each email. The primary CTA is often the content you’re delivering: Click here to download the whitepaper, or click here to watch a recent webinar on the topic. The secondary CTA is an opportunity to talk one-on-one with you or a team member about this topic. It can include a scheduling link or just an offer to reply to the email with questions.
Speed matters. In a widely cited Harvard Business Review study, companies that contacted an online lead within an hour were nearly seven times as likely to qualify it as those that waited longer [5].
Automation makes fast follow-up easy. When a lead comes in, send an automatic email with the offer and a scheduling link right away. Then alert your team so a person can call the same day.
5. Leverage evergreen webinars
Webinars – or any kind of on-demand video learning – are great tools to nurture leads, and they work well in automated marketing sequences. A recorded webinar can run on demand or be emailed as a recording to watch at your prospect’s leisure.
Record a webinar or short video on a key topic like taxes, and use that recording in email marketing, social media marketing and even online ads and SEO. Looking for more ideas on using pre-recorded content? See put your lead gen on autopilot and automated webinars for financial advisors.
Scale it: Grow without adding hours
Focus on a few channels
More channels aren’t always better. And for most small and mid-size firms, it’s better to scale a channel that works than try to be present in every channel available.
To start, pick one or two channels, automate them well, and add others only once your primary channels are running smoothly.
Know what each channel costs
Chanel costs can vary depending on market, use and scale. But if you’re looking for a place to start, Kitces measured the revenue acquisition cost (RAC) of various channels in 2026. RAC is the marketing cost to bring in $1 of new client revenue. Here’s what it found [1]:
Not every lead is ready to meet. A simple scoring model helps your team call the right people first. For example, you might add points when someone attends a webinar or uses a tax calculator, and subtract points for inactivity within your email sequences. Our lead scoring guide walks you through a sample model.

Keep it compliant
Automated messages are still communications with the public. The rules that apply depend on your registrations, so check with your compliance team, broker-dealer or carrier before you launch.
Keep the human in the loop
Automation might gain prospect attention, but only you can build the trust.
Review your sequences every few months. Read replies personally. And when a prospect books a call, show up ready to talk about the content you’ve been sharing with them all along.
The goal of an automated marketing system is a better first conversation. So make sure you and your team are ready to have powerful, effective first meetings with your prospects.
What is automated marketing for financial advisors?
It’s a connected set of tools that captures leads, sends follow-up emails, schedules meetings and tracks results without the advisor starting each step. Common parts include an offer, a capture page linked to a CRM, an email nurture sequence, instant follow-up and evergreen webinars.
What marketing tasks should financial advisors automate?
Good candidates are lead capture, instant follow-up emails, nurture sequences, webinar registration and reminders, appointment scheduling and lead scoring. Personal conversations, final review of content and compliance approval stay with people.
Are automated webinars effective for financial advisors?
They can be. Kitces found webinar use among advisors dropped to 18% of practices in 2026, which means less competition for attention [1]. On-demand viewing is common: ON24 found 45% of webinar attendees chose to watch on demand [6].
How fast should advisors follow up with new leads?
As fast as possible. A widely cited Harvard Business Review study found companies that contacted leads within an hour were nearly seven times as likely to qualify them as companies that waited longer [5].
Is automated email marketing compliant for financial advisors?
It can be, with the right controls. Emails need to follow CAN-SPAM, and depending on registration, the SEC Marketing Rule or FINRA Rule 2210. Communications also need to be archived. Check with your compliance team before launching.
Put your marketing on autopilot
The right system turns one good idea, such as showing prospects their potential retirement tax bill, into a steady flow of meetings.

An advisor was working with a prospect who was a real "do-it-yourselfer" when it came to Roth conversions.
The client was converting assets up their existing tax bracket – and hadn't considered any impact to
IRMAA.
With Roth Done Right, the advisor was able to show an alternate pattern that sped up the conversion to
6 years. The new structure offered $30,000 savings in conversion taxes – a 20% reduction on the
prospect's conversion tax bill. The report also showed hundreds of thousands of dollars in long-term
tax and IRMAA savings from the converted assets – an amount the prospect hadn't been able to quantify
on his own.
Outcome
A new client with $1M in new AUM, and a $1M FIA sale to fund the conversion process.
An advisor was working with a prospect who already had assets with Ken Fisher. Fisher's team presented a
5% systematic withdrawal projection, so the advisor needed a stronger way to frame the income
conversation.
Using the Annuity Alpha report, the advisor showed how an annuity could deliver over 8% in annual cash
flow with lifetime income, plus a long-term care doubler. The contrast was clear enough that the prospect
moved forward.
Outcome
$1.5M placed and a $100K in new business revenue.
An advisor was working with a 58-year-old couple with an established, well-funded retirement income plan,
leaving an additional $3M IRA to build out a legacy for the kids. The couple's existing advisor had no
real additional plan for this money, other than to keep it in their managed account and grow that money as
much as possible for the kids.
Using the Legacy Done Right report, the advisor showed the need for tax planning on this $3M IRA.
According to the advisor, the simple analysis "opened up the wallet" to the Roth conversion story. The
advisor then used the blended Roth/Life feature in the report to show a blend of Roth Conversion assets
with some Life Insurance to help maximize the client’s legacy.
Outcome
$3M in motion. The advisor picked up a $1.5M FIA sale that will be converted to Roth. And the advisor
also sold a 5-Pay Protection focused IUL policy at $225,000 of premium per year.
An advisor group incorporated the Total Tax Burden report into the strategy presentation for all new
prospects. They ran the tax snapshot for every new client as part of their first meeting conversation,
quantifying the growing tax burden of IRA money – and illustrating the kinds of tax savings possible
when working with their firm.
Starting in January of 2023, this simple analysis was presented to every single prospect who walked in
the door. The goal was to differentiate their practice and drive overall revenue growth through various
Roth conversion strategies.
Outcome
From 2022 to 2025, new annual AUM rose from $5M to $50M. Annual FIA sales rose from $3M to $35M.
And annual life premium rose from $50K to $1M.
